How Clean Drive Auto Care collects, uses, discloses, and protects personal information submitted through this website and our booking flow.

This website and the online booking request system are operated by Clean Drive Auto Care, a partnership organized under the laws of the Province of Manitoba ("we", "us", "our"). This Privacy Policy explains what personal information we collect, why we collect it, how we use and disclose it, and the choices and rights you have. It is intended to comply with the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy laws. We only collect the personal information reasonably necessary to respond to your inquiry, quote and schedule your detailing service, and operate our business. This includes:

  • Contact information: your name, phone number, and email address, provided through the booking form or the contact form.
  • Vehicle and service details: for each vehicle in a booking — the service package selected, chosen add-ons, vehicle type, and any notes you provide (for example, stains, condition, or special requests).
  • Vehicle photos: optional photos you upload of your vehicle(s), used to help us prepare an accurate quote and prepare for the appointment.
  • Scheduling information: your preferred date(s) and time(s) for service (up to three preferences).
  • Location information: the service address, and whether a power outlet and water access are available at that location (including approximate distance), where our service requires this.
  • Contact-form messages: any message, question, or details you submit through the general contact form.
  • Technical information: our website host and email delivery provider may automatically log standard technical data (such as IP address, browser type, device information, and access times) for security, fraud prevention, and performance purposes.
  • Temporary local data: while you fill out the booking form, your in-progress selections and uploaded photos are held temporarily in your browser on your own device so you can move between steps without re-entering information. This information is not sent to us until you submit the booking request, and it clears automatically at the end of your browser session or when your request is submitted.

We do not knowingly collect payment card numbers, banking details, government identification numbers, or other sensitive financial information through this website. Payment for services is arranged directly with you, outside the booking form.

2. Why we collect it (identifying purposes)

Before or at the time we collect personal information, we identify the purpose. We use the information described above to:

  • Receive, evaluate, and respond to booking and contact requests;
  • Prepare accurate estimates based on your vehicle(s), selected services, and add-ons;
  • Confirm scheduling, contact you about your appointment, and coordinate service logistics (such as power/water access);
  • Communicate with you before, during, and after your service;
  • Maintain business, accounting, and service records;
  • Improve our services, website, and customer experience;
  • Detect, investigate, and prevent fraud, abuse, or security incidents; and
  • Comply with applicable legal, tax, and regulatory obligations.

3. Consent

By submitting a booking request or contact form, you provide meaningful consent to our collection, use, and disclosure of your personal information for the purposes described in this Policy. Where appropriate, consent may be implied by your voluntary submission of information for a specific purpose (for example, providing your phone number so we can confirm an appointment).

You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us using the details below. If you withdraw consent before we have completed processing a request, we may be unable to provide a quote or complete your booking.

4. Vehicle photos

Photos you upload are used solely to help us assess your vehicle's condition, prepare an accurate estimate, and prepare for your appointment. Photos are stored securely, associated with your booking, and are not used for marketing, advertising, or any purpose unrelated to your service request without your separate consent.

5. Limiting collection, use, and disclosure

We limit the collection of personal information to what is necessary for the purposes identified above, and we do not use or disclose personal information for any other purpose without your consent, except where permitted or required by law (for example, to comply with a court order, to protect against fraud, or to protect the safety of any person).

We do not sell your personal information.

6. Disclosure to service providers

We share personal information only with service providers who help us operate our business and this website — for example, providers who deliver our booking confirmation and notification emails, and providers who securely host our website, database, and uploaded photos. These providers are only permitted to use your information to provide the service we've engaged them for, and are subject to confidentiality obligations.

Some of these service providers may store or process information on servers located outside Canada, including in the United States. Information stored outside Canada is subject to the laws of the country in which it is held, and may be accessible to courts, law enforcement, or national security authorities of that jurisdiction. By using this website and submitting your information, you consent to this cross-border storage and processing.

7. Email communications

When you submit a booking request, we send a confirmation email to you and an internal notification email to our team, each containing the details you submitted (including vehicle information and any uploaded photos). We use these communications only to process and confirm your request and to correspond with you about your service.

8. Data retention

We retain personal information only for as long as necessary to fulfill the purposes described in this Policy, including satisfying any legal, accounting, or reporting requirements (for example, retaining basic transaction records for the period required by Canadian tax law). Booking and contact records are generally retained for the duration of our business relationship with you and for a reasonable period afterward, after which they are securely deleted or de-identified, unless a longer retention period is required or permitted by law.

9. Safeguards

We use administrative and technical safeguards appropriate to the sensitivity of the information — including restricted access to booking data, secure storage for uploaded photos, and encrypted transmission where supported by your browser — to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification. No method of transmission or electronic storage is completely secure, and we cannot guarantee absolute security.

We rely on you to provide accurate and complete information when submitting a booking or contact request. If any information you've provided changes or is inaccurate, please contact us so we can correct our records.

12. Children's privacy

This website is intended for adults who are able to enter into a service agreement and is not directed to children. We do not knowingly collect personal information from children.
